JML business automatization. Our way.
During my time at JML, our team managed to almost completely automate management accounting in the company. I would like to tell you more about this experience and its results.
It all started four years ago. I had just started working at JML and almost immediately found myself overwhelmed by the huge amount of paper invoices that managers brought in on a daily basis. The stacks of papers were growing day by day, and keeping records in Excel was no longer possible. The logical solution to this problem was to look for automation options. We evaluated different products on the market at that time and chose “1C:UNF”. Here we set up a block of payment calendar, where each manager makes all the necessary payments, puts the date of payment, attaches the necessary documents and can see when the invoice is paid.
Thus, we have streamlined this business process and have come to its full control. Among other things, now the probability of “losing” a document somewhere in the process of its movement between specialists is almost zero, and the system itself is responsible for tracking the availability of closing documents.
Another important result of this work is the availability of all necessary analytics at any time. For example, seeing the full amount of payments required, we can easily plan expenditures for any period of time, as well as control the provision of closing documents.
Once we set up the invoice and payment accounting system, we set about mapping bank statements to specific customer and supplier orders. Doing so was important to minimize manual work. Therefore, we use a robot assistant that automatically reads the designation of the payment.
After the implementation of this scheme, accounts receivable generation has been simplified many times over. Thanks to the list of reports that are customized to our request, we can clearly and promptly track our “debtors” and inform them about approaching payment deadlines.
Automated business accounting is not only the simplicity and convenience of operative work, but also an opportunity to see the full picture of the current situation in the company, as well as to make forecasts and engage in strategic planning. Thus, after the implementation of order-by-order accounting, we can control income and expenses for each individual order, analyze its cost price and monitor the timeliness of payment.
Now, having established the basic processes within the company, we are at the next stage of automating our business - making it convenient for our clients to work with us. The first thing we started with: setting up a personal account integrated with 1C. In the near future, JML clients will be able to leave transportation requests directly from their personal account on our website, and from the same place they will be able to track the progress of the request and the location of the cargo.
We are striving for full automation of financial and management processes to minimize manual work and human errors, as well as for the convenience of our clients and partners to interact with us. There is still a lot of work to be done, new horizons are opening up as we move towards our goal, and progress is not standing still. But it is more interesting. Optimization, “improvement” of business is a continuous and almost endless process.
